Privacy Policy
How IP System Solutions (IPSS) handles information used to provide and protect the service.
Last Updated: September 26, 2026
This Privacy Policy describes how IPSS collects, uses, shares, and safeguards information when you visit our website, create an account, or use an IPSS company workspace. This is an interim operational policy and will be reviewed by legal counsel as the service develops.
Information we collect
We may collect account and contact information, including names, email addresses, company details, role and permission information, and support communications. We also process company and workspace information, prompts, messages, files, website drafts, saved results, Catalog or Properties records, and other content that users choose to provide.
To operate and secure IPSS, we may collect service and security logs such as sign-in activity, browser and device information, IP address, timestamps, feature usage, error records, and audit history. We use essential cookies or similar session technologies for authentication, security, and continuity of the signed-in experience.
How we use information
We use information to provide, maintain, secure, and improve IPSS; authenticate users; enforce company permissions and tenant separation; process requested AI features; deliver transactional messages; respond to support and contact requests; prevent abuse; troubleshoot errors; and maintain service and audit records.
AI and third-party services
When a user chooses an AI-powered feature, the information needed for that request may be sent to the configured AI provider for processing. Users should avoid submitting information they do not have permission to use or that is not necessary for the request. AI-provider handling is also governed by that provider's terms and privacy practices.
IPSS uses service providers for functions such as hosting, infrastructure, security, and transactional email. When billing is enabled, Stripe processes payment information. IPSS does not receive or store full payment-card details from Stripe. These providers receive information only as reasonably necessary to perform their services and are subject to their own policies and contractual obligations.
Sharing and sale of information
We do not sell personal information. We may share information with service providers that help operate IPSS, when a user or company administrator directs us to do so, to protect the service or users, or when required by law. Company workspace information is intended to remain limited to authorized members of that company and properly authorized temporary support access.
Retention and deletion
We retain information for as long as reasonably necessary to provide the service, maintain security and audit records, meet legal obligations, resolve disputes, and enforce agreements. Retention periods can differ by data type and account status. To ask about access, correction, or deletion, contact us at the address below. Some information may be retained where reasonably required for security, legal, backup, or recordkeeping purposes.
Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information, including access controls, company isolation, restricted server-side secrets, encrypted connections, and security logging. No internet service or storage system can guarantee absolute security.
Your responsibilities
Keep account credentials confidential, use appropriate company permissions, and provide only information that you are authorized to process. Contact us promptly if you believe an account or workspace has been accessed without authorization.
Changes to this policy
We may update this policy as IPSS, its providers, or applicable requirements change. The Last Updated date will identify the current version.
